The Politics & Social Inquiry Department offers undergraduate and graduate programs including the Bachelor of Arts in Political Science, Bachelor of Science in Public Administration, minors in Political Science and Public Administration, and a Master of Public Administration.

The Clerical Assistant 2 serves as the primary administrative support for the department and is responsible for maintaining the efficient operation of the departmental office. The position works closely with the Department Chair, faculty, students, university administration, and the public. This role requires independent judgment, strong organizational skills, discretion with confidential information, and the ability to manage multiple priorities in a high-traffic environment. 

Primary Responsibilities:
 
  • Serve as the department’s first point of contact by greeting visitors, answering calls, monitoring email, and directing inquiries from students, faculty, staff, and the public.
  • Provide administrative support to the Department Chair and faculty, including calendar management, meeting scheduling, correspondence, reports, and travel coordination.
  • Assist with preparing the academic course schedule using Banner and departmental systems (course offerings, rooms, instructors, updates).
  • Support student services by helping with registration questions, advisor assignments, transfer/readmitted student scheduling, and program information.
  • Prepare and process departmental paperwork such as adjunct hiring, overload documentation, travel and purchase requests, and other administrative forms.
  • Assist with budget tracking, purchase processing, credit card documentation, and maintaining financial records.
  • Maintain organized departmental records, files, and databases.
  • Coordinate office operations including mail distribution, package handling, supplies, equipment, and maintenance requests.
  • Help organize departmental meetings, events, and activities (room reservations, logistics, materials).
  • Supervise student workers and graduate assistants, including scheduling and timekeeping verification.
  • Manage departmental keys and assist with building or equipment issues by coordinating with campus offices.
  • Communicate departmental updates and deadlines to faculty and students and assist with administrative processes such as program reviews and faculty searches.
  • Use and maintain proficiency in office and university systems including Microsoft Office, email platforms, Banner, SAP, and other administrative software.

Minimum Qualifications MINIMUM EXPERIENCE AND TRAINING: Six months as a Clerical Assistant 1; OR graduation from high school; OR any combination of equivalent experience and training. Successful performance in an on-campus interview is required.
